Fundraising House Party Roles

Agreeing to host a house party doesn’t mean that you are straddled with a huge to-do-list. We encourage you to recruit other volunteers who you can collaborate with to help make the house party a success. Remember: The more, the merrier!

Listed below are a few ‘roles’ that can give you an idea of what people can help you out with.

Primary Roles

Host
Role
: Primary party lead and point person

  • Set date, location, attendance and fundraising goal
  • Responsible for inviting 15-20 guests
  • Determine additional roles for party team
  • Coordinates with party team as needed
    • Sets up meetings 
    • Delegates tasks
  • Leads the event
  • Greet guests/connect guests with other VIPs

Co-hosts

Role: Assist the host and invite their own network

  • Responsible for inviting 15-20 guests and RSVP follow up
  • Helps Host coordinate with party team
  • Creates invitation
  • Tracks RSVPs
  • Responsible for RSVP follow up and reminding party team to follow up with their contacts
  • Greet guests/connect guests with other VIPs

Additional Roles and Responsibilities

Recruiter/Navigator

  • Responsible for inviting 5-10 guests and RSVP follow up
  • Capable of bringing at least 2 first-time prospects into the room
  • Greet invitees/connect guests with other VIPs

Logistics

  • Coordinate food, drinks, and setup plan
  • Set up sign-in sheet, donation materials
  • Oversee clean-up or volunteer assignments for clean-up
  • Assist with data entry/tracking RSVPs and donations

Speaker(s)

  • Works with other speakers to draft a cohesive script
  • Prepare a 3–5 minute story/script (15-25 minutes total)
  • Make a direct fundraising ask
  • Be available for questions from guests

Post-Party Team

Fundraising and Donor Thank You

  • Identify attendees who can make substantial gifts
    • Invite those attendees to a one-on-one post event
    • Use prospectus to ask for gift
  • Call remaining attendees within 72 hours to thank them for coming. Send email or text with donation ask
  • Send handwritten notes to gifts above major gift threshold
  • Call and thank all donors below threshold
